Make the relevance visible
A personalized message should answer a basic question: why are you writing to this person about this subject? A first name, a compliment, or a reference to an unrelated post may make the opening look individual without giving the conversation a purpose.
Start with a detail you can support, connect it to work you actually do, and ask a question that lets the recipient correct your hypothesis. That structure gives you a way to be specific without pretending to understand the inside of someone else’s business.
The examples below continue the fictional Northstar Field Services scenario: an acquisition adds two regional teams, Maya Ellis works in operations, and the seller builds custom reporting software. These are editorial illustrations, not tested templates or customer messages.
Replace empty praise with useful context
A compliment can be sincere, but it is not a substitute for relevance. If you remove ‘impressive’ and the message has no reason to exist, the opening needs more work.

- Why it changed
- The revision names the development and the seller’s specific work. It leaves the next sentence free to ask a useful question.
Turn an assumed problem into an open question
Research can tell you that an event happened. It rarely establishes all the consequences for the person you are contacting. Keep that distinction visible in your wording, especially when the proposed problem is the premise of your offer.

- Your acquisition must be creating reporting headaches. You need a single dashboard to get everything under control.

- Are you reviewing how those teams report their work, or is that already covered?
- Why it changed
- The question lets Maya say yes, no, or explain a different priority. It does not ask her to accept a diagnosis made from outside the business.
Choose one proposition rather than the whole service menu
For a second fictional example, imagine a startup selling employee onboarding software to Harbor Services, which has announced a new location. Elena manages operations. The expansion is a reason to ask how onboarding will work across locations; it does not prove the current process is failing. A first message does not need to list every problem your company could solve. Choose the capability that connects most directly to the observed development. Save the broader description for a conversation where the recipient has told you what matters.

- One concrete offer is easier to assess. The requested next step follows the topic rather than imposing a meeting before interest is established.
Put the pieces together
Read the complete message aloud. Does it sound like something you would say in a business conversation? Remove any phrase you would need to explain away if the recipient challenged it. Make the question easy to find.

- Use the shorter version only where the channel and relationship make it appropriate.
- Do not add urgency unless the prospect or a reliable source established it.
- Use your real sender name and an accurate description of your work.
Check the meaning before polishing the style
The example is short because the question is narrow, not because every message must have a prescribed length. More complex situations may need more context. The test is whether each sentence helps the recipient understand why you are writing and what you are asking.
Before sending, return to the research. Confirm the fact, the person, and the offer. Then check tone, wording, and the next step. If an AI assistant helped with the draft, review its added details as carefully as your own. Fluency is not evidence that a claim is true.
A relevant message still may not receive a reply. The purpose of this method is to make the communication honest and understandable, and to help you learn from the conversations that do happen.
